Planned and reactive maintenance
Scheduled maintenance and call-out response across single properties or whole portfolios in Leeds and West Yorkshire, with agreed response times and reporting.
Maintenance contracts are won on responsiveness and kept on reporting. The work is rarely complicated; being reachable, turning up inside the agreed window and telling the client what was done is what separates contractors.
We hold planned and reactive maintenance across Leeds and West Yorkshire for commercial property owners, managing agents, landlords and public sector clients, from a single building to a portfolio.
How it runs
Stage by stage
Every job follows the same sequence, so you always know what has happened and what comes next.
Portfolio review
Properties, assets, current condition and what the existing arrangements do and do not cover.
Schedule and response times
A planned schedule per property and agreed response categories, with target times we will actually be measured against.
Mobilisation
Access arrangements, key holding where required, out-of-hours contact and reporting set up before the contract goes live.
Delivery
Planned visits to schedule and reactive calls to the agreed response times, with jobs logged and photographed.
Reporting and review
Regular reporting against the agreed measures, and a review that identifies recurring faults worth fixing properly.
Scope
What is included, and what is not
Stated up front rather than discovered later. Your written quotation says the same thing, itemised for your job.
Included as standard
- Planned maintenance schedule per property
- Reactive call-out within agreed response categories
- Out-of-hours contact arrangements
- Job logging with before and after photographs
- Reporting against agreed response and completion measures
- Recommendations where a recurring reactive fault is cheaper to fix permanently
Not included unless specified
- Statutory inspections requiring specialist accreditation — gas, lift and fixed wiring inspections are held directly or subcontracted, and we will tell you which
- Major works arising from maintenance, which are quoted separately
- Consumables and stock holding, unless agreed
- Insurance-funded reinstatement works
Timescales
Response times are what get agreed, not durations. Typical categories are emergency within 4 hours, urgent within 24 hours and routine within 5 working days — but they should be set by what your building actually needs, and we would rather agree times we can hit than quote times that read well.
No prices appear on this site. Construction quotations depend on the property, the ground and the specification, and a figure published without seeing any of those is a guess. What we will do is come out, look at it, and put a written quotation in front of you.
What drives the cost
- Portfolio size and geographic spread
- Response times required, particularly anything with a 4-hour emergency category
- Whether out-of-hours cover is included
- Asset age and condition, which drives reactive volume
- Access arrangements and whether key holding is needed
- Reporting frequency and format
Common questions
Questions we get asked
What response times can you commit to?
That depends on the portfolio and where it is. We would rather agree times we can consistently hit than quote a headline figure and miss it — a contractor who commits to four hours across a spread-out portfolio with one team is telling you what you want to hear.
Do you hold keys?
Where the contract requires it, yes, with a signed key register and controlled issue. For portfolios with agents we can work through their access arrangements instead.
Will you tell us when something should be replaced rather than repaired?
Yes, and it is in our interest to. A fault that keeps generating reactive calls costs you more than fixing it and costs us goodwill. Our reporting flags recurring faults with a recommendation and a price.
